1. Booking Confirmation & Payment Terms
1a. A booking is deemed as confirmed once a 50% deposit payment is received by Basford photography & filming location. Booking slots remain vacant until verified receipt of deposit is confirmed by the owners.
1b. Clients must clear any outstanding balance no less than 72 hours prior to the booking. Failure to do so will result in the booking being terminated with no refund issued.
2. Booking cancelations
2a. Cancellations made with over one week’s notice will receive a full refund. Cancellations made with less than one week’s notice will forfeit the full 50% deposit payment. Cancellations made within 72 hours, including no shows, will require the entire booking amount to be paid in full with no exceptions.
3. Set up & clean up time
Here at Basford, we allow a maximum 15 minute grace period on either side of your booking. We ask that you, and your party, arrive no sooner, and leave no later than this time.
3a. Any additional set up, pack down or clean up time must be included within your allocated booking time. Any additional time required will be charged at our standard rates.
3b. Should we deem the location not to be left in a reasonable & clean state after your booking, we reserve the right to charge for this accordingly.
4. Number of Attendees
We ask that only those agreed at the time of booking attend on the day. Should any additional people arrive at the booking, and we not be notified, they will be charged for accordingly, or be asked to leave
5. Use of Studio & Location Equipment
Here at Basford we have a large range of props, lighting, furniture and photography equipment available for use for your convenience at no extra charge.
5a. All equipment, furniture, aforementioned, must be returned to their original state and/or location at the end of the booking. The client is responsible for any costs incurred for damaged or missing equipment.
5b. Any damage to any items within or around Basford i.e. within Basford Hurst Cottage and it’s grounds (including the property itself), both personal and professional, caused by the client will be charged for without exception.
5c. Any damaged backdrop roll will be charged at £10 per metre.
5d. None of the equipment should be taken off site unless written permission is given by the owners to do so.
5e. All equipment used is at the risk of the client and Basford shall not be liable to the client for any loss, damage, expense, or for any consequential loss (including loss of profit) arising from or in connection with: any damage to or loss of property by the client or third party or any breakdown, stoppage or failure of the facilities/equipment provided by Basford.
5f. None of the equipment should be used outside in adverse weather.
5g. Use of any equipment is the sole responsibility of the user and Basford cannot be held responsible for any injuries incurred.
6. Minors
We have a strict over 18 policy here at Basford and reserve the right to check appropriate legal and valid ID should we feel the need to do so.
6a. We ask that all minors (under the age of 18) are accompanied by a legal parent or guardian whilst on our premises.
7. Noise
As this is our home, we ask that noise levels are kept to a minimum whilst working within the location. We are happy for music to be played if kept at a reasonable volume.
8. Basford Creative Person Safety Policy
Here at Basford, we take the safety of all participants very seriously. For this reason, we implement the following terms:
8a. Please do not enter the models dressing room unless you have been granted specific permission by the model themselves to do so.
8b. Level pushing will not be tolerated at Basford. This is when a creative is pushed, coerced, or manipulated into shooting at levels that they are not comfortable doing.
8c. We ask that no creative make physical contact or invade the personal space of another creative. This includes, but not exclusively, adjusting clothing, and moving hair or body parts.
8d. We will not tolerate any suggestive, inappropriate or sexual behaviour towards a creative under any circumstances.
8e. We uphold a strict zero-tolerance policy to attitudes and actions that express contempt or prejudice against anyone irrespective of their gender, ethnicity or religious belief.
Any creative found in breach of these terms will be immediately asked to leave, without question or refund, and will not be allowed to return to Basford.
9. Public Liability
9a. Basford Photography & Filming Location has public liability and professional indemnity insurance with Hiscox Business Insurance, Policy No: PL-PSC10003247155/00
9b. We are happy for food & drink (non-alcoholic) to be consumed on site during your booking, however, the client who booked the location is responsible for all allergies and complications that can arise from perishable/consumable items.
10. Termination
Basford reserves the right to terminate the booking at any time should a client be found to be in breach of any of our terms and conditions.
11. Additional Terms
11a. Basford Photography & Filming location is our home. We will therefore not tolerate any form of aggressive, demeaning, anti-social or unacceptable behaviour towards the owners, guests or anyone else on site throughout the duration of your booking.
11a. Please only wear indoor shoes / slippers whilst shooting in our location or studio areas. Heels may be worn whilst shooting but please remove these when not in use.
11b. Absolutely nothing other than soft fabric should be worn whilst shooting on our dining room table. This includes shoes and lingerie with belts / buckles & fastenings. Should our dining table be scratched, marked or damaged, you will be liable for the cost of repairs.
11c. Please do not rip, cut or remove any flowers from our garden areas. We ask you to bring any flowers with you on the day that you wish to work with.
11d. We are happy for smoke machines (and similar) to be used at Basford, however, please check that the product used does not leave any marks, smells, or residue.
11e. You are welcome to shoot around our pond area but please do not enter the pond or climb onto the waterfall stones. Any damage to the pond & waterfall liner could have catastrophic and expensive consequences for which you would be liable for.
11f. We charge an additional £10 supplement for the use of hot water for bath & shower shoots / photography. Please let us know if you require this on shoot day as we need time for the water to warm up. We will provide you with towels and plastic bags for wet clothing / materials if required. Should you wish to use any products in our bath other than water and soap please ask first.
11g. Please do not enter any of our private areas within the location. These will be clearly described and pointed out to you on the day of your booking.
11h. If using candles within the property, please never leave these lit and unattended. Please also be mindful of any waxy spillages.
12. CCTV
Here at Basford, we have security cameras located around the outside of our property and within our Star Wars Memorabilia room. These are purely used for safety and security and not for any other purpose.
13. Levels of Photography & Videography
Basford Photography & Filming location allows photography & videography to be undertaken up to tasteful, artistic nude levels. Please note, we do not allow, under any circumstances, any work relating to adult levels, including but not limited to, pornography, use of sexual toys, masturbation (including implied masturbation) and anything else deemed too adult by the owners. For clarification on shooting levels please do not hesitate to ask.
13. Non-Solicitation
Clients will not directly, indirectly, or on behalf of others; solicit, induce, recruit, encourage or otherwise endeavour to cause or attempt to cause any employee, previous employee or consultant of Basford Photography & Filming Location to perform any business/services to the Client, or to terminate their relationship with Basford Photography & Filming Location.
14. Variations
These terms and conditions are valid at time of booking and are subject to variation. Clients will be notified of any variations prior too booking.
15. Applicable Law
All agreements shall be governed by the laws of the United Kingdom
